Position: HR Reception/Recruitment Coordinator – Part-time
Location/Department: Rome, New York / Human Resources
This HR Reception/Recruitment Coordinator position is for an opening within our Bartell Human Resources Team. The HR Reception/Recruitment Coordinator will report directly to the Senior Human Resource Manager.
Qualifications, Knowledge, Skill and Experience
• Engagement: Key player in all aspects of employee engagement
• Telephone Switchboard
o Operate telephone switchboard; greet and register customers, vendors, and visitors. Issue badge and safety vest, glasses, and shoes. Ensure safety by playing safety video for all parties entering our facility.
• Mail Distribution
o Maintain postage meter and all employee mail boxes
• Clerical Support for Human Resources
o E-Verify (I-9) System: provide the SSA and DHS with information from each new employee for I-9 to confirm work authorization
o Primary owner of Background Check Screening for possible new hires globally (including employment and degree verifications) from initiation throughout process to ensure on-time starts for candidates and communicate status of background checks to HR and Recruiting; Schedule Drug Screens and Physicals
o Coordinate and schedule all Annual Recruitment Events
o UltiPro Personnel Requisition Management: Start to finish onboarding and off boarding process including administrative tasking/ working with staffing agencies. Track all US new hires through offer stages within UltiPro including temporary, contractors and interns
o High volume interview scheduling in different time zones; coordinating interviews and travel related activates both internally and externally
o Coordinate all necessary tasking to get swag for job fairs etc.
o Reporting (Requisitions, Schedules, Interviews, Compliance Training)
o Responsible for all internal and external job postings
o Track and report HR Recruiting metrics
o Collaborate with candidates and steps in H1B and Green Card filing
o Perform customer service functions by answering questions and proactively engaging with employees, contractors, and interns.
• Handle overflow secretarial functions for various departments
• Bachelor’s Degree with 1 year; Associates Degree with 2 years; High school degree or equivalent with 2 or more years collective work experience
Skills & Relevant Work Experience
• Fluency in English
• Proficiency in Microsoft Word, Microsoft Excel, and Microsoft Outlook
o Utilizes strong written and oral communication skills often and consistently. Clearly understands the department objectives. Highly interactive with cross functional team members.
• Team work
o The employee shall have capabilities and experience to work in team environment to accomplish employee’s clear goals and objectives that support the overall departmental strategic plan. This employee also supports the corporate mission, vision, and core values – specific to the department contributions. Works well with other various departments.
• Problem solving
o The key performance indicators for this position include: Operate telephone switchboard and greet visitors, very strong scheduling experience, knowledge of Microsoft Suite, payroll/scheduling, mail distribution, and support for Human Resources, handle overflow of compliance, benefits, staffing and engagement functions for various departments.
o Understands business objectives, maintains a level of business integrity; proven success in managing the onboarding and off boarding process, new hire orientation for both new employees as well as transferred internal employees. Makes independent decision under guidance of department management.
• Planning and Organizing
o Demonstrates self-discipline in organizing tasking to plan and meet time and budgetary constraints, quality, and procedures.
o Hands-on working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint and Outlook). Demonstrated proficiency in Gensuite, E-Verify, and ScreenOne, HRIS data entry and management.
o Able to gain a good working knowledge of human resource functions.
Travel Requirements: Up to 10%
